Client Background

Our client operates 20 hospitals across three states. With more than $3 billion in net patient revenue, the organization is the 2nd largest healthcare system in Colorado by revenue. Additionally, the healthcare system has over 240 physician practices and clinics, and more than 21,000 caregivers and employees.  

The business challenge

The healthcare system opted to migrate all facilities within their system to Epic electronic health record (EHR). Through one standardized and unified EHR, the health system sought to become more efficient, drive better data consistency and accuracy, and provide improved care coordination. However, five Utah-based hospitals were still using Meditech EHR. The healthcare system sought the assistance of Baker Tilly to integrate these five hospitals onto Epic. 

Strategy and solution

The client’s five Utah-based hospitals were seamlessly integrated into Epic interoperability with conversion data from the legacy Meditech platform using the Rhapsody integration engine. Data was extracted from Meditech in HL7v2 2.5 messages, flat files, base64 encoded documents, data extracts and Continuity of Care Documents (CCD) The different data types were mapped and normalized for use with Epic Bridges to Epic EHR specifications. Data was clinically validated between the legacy systems and newly converted data in Epic. Error rates were well below industry benchmarks leading to a trouble-free, on-time go live. 

The following historical data types were converted and migrated to Epic: 

•  3 million chemistry lab results 
• 2 million inpatient and outpatient encounters 
• 1 million notes and transcription reports 
• 1 million scanned documents 
• 710,000 radiology reports 
• 600,000 demographics updated 
• 261,000 Meditech CCDs loaded 
• 246,000 athenaHealth CCDs loaded 
• 240,000 microbiology results 
• 90,000 inpatient encounters 
• 65,000 blood bank lab reports 
• 31,000 pathology reports 
• 25,000 patient cutover charges
